Collections depends on someone pulling the pending-receipts report from the CRM or an Excel file, then calling and messaging clients one by one from their phone. With hundreds of receipts a month, not everyone gets reached. Many clients don't answer, others are missing a valid phone number or email, and notes taken by hand get lost between one task and the next. A receipt with no follow-up ends in a canceled policy and a lost commission.

HOW IT WORKS

From pending receipt to collected receipt

Six steps the agent runs on its own, with your brokerage's rules. You step in when a case needs a person.

  1. Step 1: Spots receipts coming due and past due

    Every day it checks your insurer portals or your CRM, from 30 days before to 30 days after the due date.

  2. Step 2: Decides which stage applies to each receipt

    Based on days left or days overdue, it follows the schedule your brokerage set, by insurer, line or payment method.

  3. Step 3: Contacts the client on the right channel

    Email from your brokerage's account, WhatsApp from your number, a call with an AI voice or SMS under your name. It logs every reply.

  4. Step 4: Follows up without overwhelming

    If the client promises to pay, it waits until that date. If they don't pay, it moves to the next stage, with at least 24 hours between messages.

  5. Step 5: Confirms payment on the insurer portal

    When the insurer marks the receipt paid, it closes it and stops following up. It never treats a receipt as paid just because the client said so.

  6. Step 6: Escalates whatever needs a person

    If the client says they already paid, refuses, or attempts run out, it alerts the responsible account executive with the full history.

FAQs

What teams ask before getting started

How is it different from Payment Validation?

Payment Validation tells you what's paid and what isn't, by checking the insurer portals. Collections acts on what isn't paid: it emails and calls the client. They share the same data source: Validation spots what's pending, Collections collects it and Validation confirms the payment.

Which email and number does it use to contact my clients?

Email goes out from your brokerage's account (connected Gmail or Outlook) and WhatsApp from your number. Calls use the number you set up. SMS messages are signed with your brokerage's name.

How many times does it follow up?

You decide: stages by day, each with its channel and instructions. By default, one contact per channel at each stage, at least 24 hours between messages and a maximum of 5 attempts per receipt before handing it to the account executive.

What if the client says they already paid?

The agent stops following up and hands it to the account executive to verify. A receipt only closes when the insurer marks it paid on its portal.

Can I review the messages before they go out?

Yes. We can set emails, WhatsApp messages and SMS as drafts for your team to approve or edit, and start in test mode, with everything sent to test contacts. Calls can't be pre-approved.

Can I exclude certain clients?

Yes. There's a list of excluded clients, and you can also leave out entire insurers or lines.

Which CRMs does it connect to?

SICAS, the most complete connection: it receives the receipts and writes the collections history back. With APRO it syncs your clients' contacts. You can also import clients from Excel.
