The challenge: it's not sending the email, it's everything that comes after

BROVE is an insurance broker with more than 10 years in Mexico, certified as a Great Place to Work, serving commercial and personal clients from its offices in Mexico City and Monterrey.

For a team like BROVE's, sending the first quote request to carriers isn't the biggest problem: depending on the type of insurance and the number of carriers, an experienced account executive can go to market in 5 to 15 minutes. The real bottleneck is what comes next: following up with every carrier that doesn't reply, keeping track of reminders so none slip through, and keeping all the information organized once replies start arriving through different channels and at different times.

The result: account executives spending a significant part of their day chasing replies, combing through email threads and sorting quotes by hand, time they couldn't spend advising clients, analyzing coverage in depth or finding the right policy for each need. In lines like property and casualty, where certain accounts or types of insurance call for much deeper analysis, that time lost to operational tasks has a direct cost in quality of service.

The solution: an agent that chases, organizes and escalates while your team focuses on selling

BROVE deployed Handle's Quoting agent to automate the two tasks that took the most time: following up with carriers and organizing all the information in the quoting process.

  1. 1

    Request received

    < 1 min

  2. 2

    Sent to carriers

up to 25 carriers in parallel

  3. 3

    Automatic follow-up

every 72h, up to 3 reminders

  4. 4

    Replies classified

    249 quotes parsed

  5. 5

    Escalation when needed

    only 16% of interactions

Full autonomy

84% with no broker intervention

  1. 01

    Automatic, persistent follow-up

When a carrier doesn't reply, the agent sends automatic reminders on a configurable cadence (every 72 hours, up to 3 follow-ups), keeping the context of the original thread. In 5 weeks, the agent sent 831 reminders, a follow-up volume no account executive could sustain without neglecting the rest of their work.

  2. 02

    Automatic classification and organization

Every inbound email, every quote received, every follow-up is automatically classified and filed by case. The agent processed 469 inbound emails and parsed 249 quotes, removing the manual work of opening emails, extracting data and organizing it. For the first time, all of a case's information lives in one place.

  3. 03

    Going to market at scale

The agent handles the initial send to carriers, reaching up to 25 carriers per request in parallel. It's not that an account executive couldn't do it; it's that the agent does it without taking a single minute of their time, freeing them from the very first step.

  4. 04

    84% autonomy

Of the 2,132 outbound interactions with carriers, only 336 needed escalation to the broker. The agent handled the rest fully on its own, and BROVE's team knows the agent will ask them when it needs to, so they can focus on other work with peace of mind.

The results: 831 automatic follow-ups, 249 quotes organized, and a team free to advise

In its first 5 weeks of operation, Handle's agent took over the two tasks that consumed the most time and attention.

Where it makes the biggest difference: follow-up and organization

ActivityVolumeImpact
Automatic follow-ups831 remindersTeam freed from chasing carriers: the agent handles it and escalates when it needs input
Inbound emails processed and classified469 emailsAll the information for each case organized automatically, with no manual work

Total operating volume

ActivityVolumeEst. manual time
Initial emails to carriers1,301~11 hours
Follow-ups and reminders831~42 hours
Inbound emails processed469~39 hours
Total2,601 messages~92 hours saved

The estimate for initial send time is based on times reported by BROVE (~10-15 min to contact ~20 carriers). Estimates for follow-ups and processing use industry-standard times (3-5 min per action). Beyond the time itself, manual follow-up carries a hidden cost: it constantly interrupts higher-value work such as coverage analysis and client service.

What's next

BROVE has become a co-creating client of Handle's workflow, actively iterating on email personalization, carrier selection logic and executive visibility. The project has already moved from the enablement phase to the optimization phase: the system works end to end, and the focus now is on improving conversion, UX and scalability.
